RESPONSIBILITIES

Financial Administration:

  • Manage petty cash, including recording, controlling, and tracking expenses, and prepare monthly
    department and product-wise reports.
  • Prepare and submitstatutory payment documents (e.g., T10 certificates, APIT return data, ETF returns,
    EPF C forms) to relevant authorities.
  • Prepare PSC contracts and dispatch proforma invoices for AMC (Annual Maintenance Contracts) and
    subscriptions to clients.
  • Follow up on AMC and subscription payments from clients and update the collection sheet.
  • Prepare monthly Management Information System (MIS) reports by accurately inputting details.

Office and Claims Management:

  • Handle OPD claims and maintain accurate insurance documents (renewals, employee inclusions, and
    deletions).
  • Manage the laptop inventory, ensuring accurate records, facilitating repairs, and verifying that all
    laptops are in excellent working condition.
  • Procure new equipment and supplies by obtaining quotations from suppliers, comparing costs, and
    negotiating purchase agreements for new equipment, office renovations, and call center setups.

General Administrative Support:

  • Provide administrative support for various task including travel upon request.

SKILLS

  • A minimum of 1 year of experience in an office assistant role or a related administrative or financial
    support position.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Excellent written and verbal communication skills.
  • Highly organised and detail-oriented, with the ability to multitask and prioritize effectively.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Ability to work both independently and collaboratively within a team.
  • Professional demeanor with the ability to handle confidential information discreetly.
  • A Diploma in IT will be considered an added advantage. Ability to work independently and

CANDIDATE REQUIREMENTS

  • Bachelor’s / Master degree in a Administration related discipline.
  • Minimum of 3 years of experience, preferably in the hospitality industry, is an added advantage.
